A key part of any presentation is the preparation, and this video gives you some important tips about preparing your presentation using NovaMind.

In NovaMind Pro and Platinum, there are two Mind Map templates which you can use for creating your presentations, and these are introduced in the video, but the majority of the video shows you how to put together your presentation without using a template, based on the research work of David Kolb and Bernice McCarthy.
These studies on learning styles and how people react to the information they are presented with give a solid basis for building presentations that hook the interest of your entire audience.
You have probably heard about the concept that different people learn in different ways, and David Kolb did some interesting research which concluded that there are four main ways that people learn new things: By experiencing something for themselves, by observing something and reflecting on what they have learned, by thinking about what they have heard, or by doing things for themselves.
It is difficult to appeal to all these different learning types in a single speech, but Bernice McCarthy put together what is called the 4-mat system, which is designed to hook the interest and attention of all the different learning types.
The 4-mat system of presentation is divided into four sections, which are: Why, What, How, and What If.
For the “Why?” people, if you don’t hook them right up front with a good reason for them to listen to you, you will not be able to get them to listen to the rest of the talk. You really want to hook these people because they are the ones who will take your message on board as part of themselves and spread it to other people.
If the “What?” people don’t get the information about what is going to be covered in the presentation near the start of the presentation, they will thing that there is no substance to what you are talking about. You want these people to take it all in because these are the people who will be able to explain in logical detail exactly what the idea is, and can then take it forward and implement it, sticking to the true concepts no matter what human or other obstacles are in the way.
The “How?” people will take away the information you gave them and try it for themselves. Some of them will be able to visualize themselves doing the things you were talking about, but in many cases, they need to actually do it themselves. When these people know that it works by experiencing it for themselves, they will build strategies and designs to implement the ideas widely, and will inspire others to follow them.
And lastly, the “What If?” people will be thinking up questions right from the moment you start your talk, and you have to know how to cater for their needs in your presentation. This is discussed in the video These people love doing things with what they have learned, and will get in there and learn by trial and error, and when they have “got it”, they will share their vision of the possibilities this opens up, and will encourage and cajole other people to become involved.
The video shows you how to use Mind Maps to implement these strategies for both a short talk and a longer presentation. Mind Mapping gives you a lot of advantages over more traditional presentation methods, both in the structuring and preparation of the presentation, and by using Mind Maps during presentation delivery.

NovaMind makes it easy to organize the things you need to do, and you can categorize by whatever makes sense for that particular list.
Sometimes you will want to create a to-do list that is time based, like this one which is used to organize your week. Other times, you will want to organize according to your objectives or goals.
You can use the adornments to visually categorize the tasks on your Mind Map, and you can use the colors and shapes of the branches to form visual associations too.
If there are logical associations between the tasks, you may like to indicate them using link lines.
And of course if you are using NovaMind Pro or Platinum, you are likely to want to put checkboxes on the branches. The checkboxes are three state checkboxes where the is an on, or checked state, an intermediate state which indicates that the task is partly done, and an unchecked state which indicates the task hasn’t been started.
There are two ways that the checkboxes can operate. They can be set to operate independently, or so that the state of the checkbox on a parent branch is determined by the state of the checkboxes on it’s children. This is set up using the “Automatic checkboxes” option in NovaMind. If you turn it off you can check or uncheck or partially check any branch independently of all the other branches.
With the “automatic checkboxes” option on, when the children are all unchecked, the parent is unchecked. As soon as one of the children is partially or completely checked, the parent is partially checked, because the task has been started. And when all the children are checked, the parent is checked too. If you have completed all the tasks under a parent task, you can actually click on the checkbox for the parent task and it will check all the children branches too. This is really useful if it’s been a while since you updated, and you have completed all the children tasks.
These inheritance settings also work down multiple levels of children and grandchildren branches.
One of the uses of this automatic checkbox states is that if you hide the children branches, you can still see the overall status of that task, and if you need to look at the detail, you can just expand it.
If you have more extensive task management needs like seeing the percentage complete, setting priorities, assigning resources, start and finish dates etc, then you can do that in NovaMind Platinum.

Seeing as the process is almost identical for Windows and Mac, they are both included in one video, and you will see both user interfaces.
To start the upload, on Windows, you can use the option under the NovaMind Button, then choose to Publish on NovaMind Connect.
On Mac, you can either use the option in the File menu called Share on NovaMind Connect, or click the icon on the Toolbar. If you don’t see the icon in the toolbar, you can control-click the toolbar and add the NovaMind Connect icon.
Next you will see the login panel. On Windows you get the option to have your username and password stored encrypted on your system for next time so you don’t have to enter them every time to log in.
On the Mac, it is very similar, only you get the option to store your username and password in the system keychain.
If you store your credentials in the keychain, next time you upload, you will get a different panel to initiate the upload, where unless you wanted to change your login details, you would just press Return to start uploading.
NovaMind will then contact NovaMind Connect to get upload details, so you will briefly see a progress panel while it collects that information.
If you have already uploaded that document to NovaMind connect, you will see a panel showing you the existing document details.
Now if you are updating an existing document that you have already uploaded, just click the Replace Selected Document option. This will preserve any comments on the existing document, maps and branches, and update everything to match the new version of the document. Note that if you delete a branch that had comments on NovaMind Connect, those comments will be removed when the branches are removed on NovaMind Connect.
You should be aware that if you are editing a Mind Map, and cut and paste branches from one place to another on the Mind Map, they will be considered to be new branches as far as NovaMind Connect is concerned, and the comments that were on the original branch will be deleted. If, however, you graft the branch from one place to another, it is considered the same branch, and therefore all comments are still attached.
Now you will be able to enter the title of the document, the description and tags. If you are replacing an existing document, the information will be pre-filled with what is currently on NovaMind Connect, and you can edit it if you desire.
The title should be a brief one so that people can see at a glance what the Mind Map is about.
The description should be a complete description of what the Mind Map document is all about. Bear in mind that people will be searching for Mind Maps on NovaMind Connect, so make sure to use the types of words they are likely to be searching on in your description.
Then the tags. A tag is a keyword or term assigned to your document, used to help describe the document so that it can be found again easily.
Please use only one or two words for each tag, and use singular terms.
Assign tags to your document by listing them with commas between them.
You should use tags that are the same as the ones already in use on the NovaMind Connect tag cloud if they suit your document. The more people use the same set of terms, the easier it is to find the important tags for the types of document on NovaMind connect. This helps with finding things. In many cases you’ll have some tags in common with others on the site, and some that are unique to this document.
Now you are ready to press the upload button. You should be aware that there is a timeout between the time when you initiate the upload and when you click this upload button - you have 15 minutes. If you wait longer than 15 minutes, the upload will fail and you would have to try again. This is a necessary security measure in the underlying technologies we are using for NovaMind Connect.
So click the upload button, and you will get a progress bar again while the file is uploaded and then NovaMind tells NovaMind Connect that the upload was successful.
At the end of the process, you will get a URL to view the document on NovaMind Connect
Now if you immediately click to go to NovaMind Connect, it is likely that the document may still be being procesed, but NovaMind Connect will show you the document as the different parts are processed, and you should get the first of the Mind Maps in the document visible pretty much straight away. NovaMind Connect will continue to check the progress of the processing, and will automatically add Mind Maps as they become available. When the processing is complete, you will automatically be switched over to the completed document view.
The processing should only take a few seconds for a small Mind Map, and probably all but the biggest Mind Map documents will be processed in well under a minute, but if you want to go elsewhere in the web site, you can do so, and your document will continue to be processed in the background, and when it is ready, it will automatically appear on the recently added Mind Maps on the home page of NovaMind Connect, as well as in your profile. You will also receive an email from the system when the document has been processed. The email will also include a link to the document on NovaMind Connect, so you can click that link to go directly to the document if you like.
The technology that drives NovaMind Connect is very complex and includes 11 different systems spread out over 4 different physical locations with all the vagaries of networking between the systems, so it is possible that there may occasionally be communication errors between the different parts, but it is designed to both try to recover from any issues, and to inform us that there are issues so we can deal with them. So if your document doesn’t appear immediately, please be patient and the issue should be resolved shortly. If it still hasn’t appeared after 24 hours though, please do contact us so we can chase up on where the issue occurred and get it live for you.
All of this makes it sound more complex than it is to use the system, but the reality is that once you have stored your password, all you need to do is click a couple of buttons, and enter the title, description and tags and that’s about all there is to it.

This is a very full featured and powerful export feature of NovaMind. Of course you’ve always been able to select the Mind Map title and copy and paste the text into Word, but you didn’t get it the Word outline format and you didn’t get all the images or hyperlinks.
With the new export feature, all that has changed.
When you export a Mind Map to Word, the Mind Map title becomes the title of the document, and each branch is mapped to a Word heading according to its level. This allows you to generate tables of contents and work in outline mode if you want to.
All of the text is added to the document using the Word default fonts unless you have explicitly set a font or color in NovaMind. If you have only set the style of some of the text, the rest of the text will take the Word default formatting for the attributes of the text you haven’t changed, and for the rest of the text. This means that the Word templates and styles are easily applied and update the text in the same way as if you had made those changes in the text within Word.
The text comes across using the standard Word formatting except where we explicitly set it to something else.
And if we apply a specific style to the document in Word, then it applies that style to the text of the document.
You can also work with the NovaMind themes without affecting this - only the text styles that you have changed to be something different than the theme settings will have those specific settings applied in the Word document. This allows you to use the full power of the Word themes for your Word document.
Also, the hyperlinks on your NovaMind document are translated into the MS Word equivalent - either hyperlinks or bookmarks and links if the link is to another branch.
The images are exported, including any reflections you have put on the images. This also includes attached graphics and adornments.
Also the branch notes are exported, including any embedded graphics.
All of these features are designed to give you the absolute best experience when you export your NovaMind document to MS Word.

NovaMind for Mac received a significant update today with the ability to export Mind Maps directly from NovaMind to PowerPoint.
This capability opens up new sharing opportunities where there is a need to brainstorm ideas using Mind Mapping techniques, and yet to share the information using more “traditional” presentation software.
Although NovaMind for Mac used to have similar functionality, it did not work with the latest version of PowerPoint, and so we took the opportunity to completely rewrite the PowerPoint export in such a way that it no longer requires PowerPoint to be installed on your computer for the export to work.
The files produced are the new PPTX files used by PowerPoint 2007 for Windows and PowerPoint 2008 for Mac.

For some time, the Mac edition of NovaMind Platinum has had the ability to add project related information like start and finish dates, percentage complete, priorities, and assign resources to the branches on the Mind Maps, and then import the project information into Merlin project manager for Mac.
While this is a really good solution, we realize that many of you are using other project management software. The Microsoft Project file format has become the de facto standard for project management applications, so no matter which project management software you use, it is almost certain that you will be able to use the MS Project format.
This means that you can carry out the project inception phases in NovaMind, brainstorming your ideas and working out the project’s scope and objectives, then export into Microsoft Project format for detailed project management.
During the project, if you need to bring someone new on to the project or brainstorm solutions to particular problems in the project, you can either import the whole project file into NovaMind, or export a portion of the project plan from your project management package and open it in NovaMind, and work with it in NovaMind. Using the Mind Map format makes it easy to see the interrelationships between objectives and requirements and tasks within the scope of the project, which makes it a powerful tool for both understanding where all the different pieces of the project fit together, and also for designing solutions to project related issues.

With the Web Sharing module, you can publish your project file over the web either as a live HTML document so you can collaborate with other users over the web or as a static HTML page that you can share with the team.
This feature opens the door for all users who wish to use Merlin but can’t because they are tied to an operating system other than Mac OS X. By publishing your Merlin project file using Merlin application and its Web Module add on, you can allow any user to access the project and collaborate with you on it only using their web browser.
Here is a project that has been shared using Web Sharing - as you can see, it has just about all the features of Merlin available to the whole team on the web.

The update from earlier versions of Merlin 2 is free, but a separate license is required for the web sharing capabilities. The web sharing licenses can be purchased from the NovaMind online store.

The Pro and Platinum editions of NovaMind for Windows also now have the capability of importing Mind Manager files. We have a lot of users who have a number of old Mind Maps that they want to convert to NovaMind format and work with in NovaMind, and people who receive Mind Manager files from colleagues, so we have built this capability into the Windows version of NovaMind Pro and Platinum.
Mind Manager import and export has been in the Mac version of NovaMind for several years, but the techniques we are using in the Windows product gives a better result, so we are going to be porting the new Windows import capability over to the Mac, and it will be available shortly.
To get the latest version, just do a check for updates in NovaMind and download the latest version.

But there used to be something missing - sure, if you have a good Mind Mapping application, you can use it like a visual storyboard, but very often snippets of the actual screenplay are thought up during these brainstorming sessions.
There used to be nowhere to store these portions of your screenplay in your mind maps.

Starting with the current Mind Map Connection newsletter that was just released today, we will be archiving the newsletters and announcing the links to them on this blog.
In this newsletter, there is a summary of the things that have been happening in the world of NovaMind over the last few months, including links to many of the mind mapping articles and videos that have been released by NovaMind in that time, and the enhanced mind mapping capabilities of the latest release of NovaMind.
Some of the new web site features such as social bookmarking, easy linking and the articles are discussed.
The new version of the NovaMind screenwriter for Mac has been released and we are looking for feedback so we can make sure it is the screenwriting tool of choice for both budding and professional screenwriters.
It was also announced that NovaMind for both Windows and Mac will be getting import and export capabilities for Mind Manager and MS Project files in about 3 weeks. The Mac version of NovaMind has had Mind Manager import and export for some time, but it was difficult to maintain, and the new version improves the handling of Mind Manager files in many respects.
There is some preliminary information about the new web system that NovaMind is developing, and a few hints about what is coming in the future. Stay tuned for further information in due course.
